Exhibit Booth Package
Each Exhibit Booth Package includes:
- 10' x 10' Exhibit Space
- Pipe and drape.
- One 6' table and two chairs.
- Location of your choice based on availability at the time of booking (see floor plan).
- Double spaces are available.
To reserve booth space for your company, complete the attached Exhibit Booth Reservation Form and send to the Congress Administrator.

Booth Space Allocation
The floor plan of the Exhibit area is attached. When completing the form, please indicate the booth number of your preferred location. Space allocation will be made on a first come first serve basis. If a booth location preference is not indicated on the Exhibit Booth Reservation Form, or if your requested location has already been reserved, Congress Management reserves the right to allocate alternate space to your company and you will be advised by e-mail.
Booth Space Payments
After your Exhibit Booth Reservation Form has been received, an invoice will be issued to the address indicated on the form, along with details of how payment can be made. Exhibit Booth reservations are not considered complete until payment has been received.
Exhibit Booth Attendant Registrations
Exhibit Booth Attendant Hospitality Registrations are $226 including HST, and are available for a maximum of two booth attendants.
Freeman Decorating is the official supplier of all exhibit equipment and services. An Exhibitor Services Manual, complete with order forms for all related equipment and services you may need will be sent to you, including shipping/receiving, storage, etc.
Please note that the exhibit area at the Westin Ottawa is fully carpeted so you only need to order carpeting if you want to colour-coordinate with your booth materials.
Exhibit Move In and Set Up
All standard 10 x 10 booth spaces will be set up and ready for Exhibitor move-in at 12:00 noon on Sunday, May 27. Custom booth set-ups must be arranged in advance with Freeman Decorating.
All Exhibit Booths must be fully set-up by 6:00 pm on Sunday, May 27.
- Monday, May 28, 2012, 8:30 am to 6:30 pm
- Tuesday, May 29, 2012, 8:30 am to 6:00 pm
- Wednesday, May 30, 8:30 am to 5:00 pm
- Thursday, May 31, 8:30 am to 12:30 pm
Teardown of displays will commence at 12:30 pm on Thursday, May 31 and all exhibit display materials and equipment must be removed from the hotel premises by 4:00 pm that day.
The Westin Ottawa is the official accommodation for the National Fish and Wildlife Conservation Congress. A block of guest rooms has been reserved for Congress participants at the special rate of $239.00, single or double occupancy.
In order to guarantee you receive this rate, make your reservation directly with the hotel through the hotel's reservation form prior to the cut-off date, April 24, 2012.
